The hiring decision
What makes this hire work on your plant floor?
A quality systems manager is the person who keeps the plant ready for an audit it has not yet been told about. When you hire a Quality Systems Manager, you need someone who has brought a site through certification, run an internal audit program that finds real problems, and kept document control and CAPA moving inside an eQMS.
We search for managers who can describe the audit that went badly and the system change that followed.
We ask which certifications the candidate has managed, whether they led an initial certification or a recertification, how they prepared the site and what the registrar auditor found. Strong candidates remember the major and minor findings and how the closure evidence was assembled.
A weak internal audit program checks boxes. We ask how the candidate scheduled audits, trained auditors, selected topics based on risk, handled resistance from department managers and escalated repeat findings. Candidates with an ASQ CQA often explain methodology well, but we also ask for examples where an audit changed something.
Before an introduction
What do we check before you interview?
We ask which eQMS platform the candidate administered, how CAPAs were triaged, what effectiveness checks were used and how overdue actions were handled. Managers who tightened CAPA closure standards explain what pushback they received and how they dealt with it.
Document control that people use
We ask how the candidate handled revision control, training records, obsolete documents at workstations and migration of legacy procedures into an eQMS. We look for a practical grasp of how operators actually find instructions.
CAPA discipline inside an eQMS
We ask which eQMS platform the candidate administered, how CAPAs were triaged, what effectiveness checks were used and how overdue actions were handled. Managers who tightened CAPA closure standards explain what pushback they received and how they dealt with it.
Management representative role and management review
In many sites the manager acts as management representative. We ask how management reviews were prepared, what data was presented, how leadership responded to unfavorable trends and how the candidate kept the system alive between audits.
Red flags we screen out early
Over-documentation without operator buy-in is another concern. Finally we check whether they have trained supervisors to answer an auditor directly, since a plant that relies on one person during audits is exposed whenever that person is out.

Direct search
Where are qualified people working now?
Quality systems managers often come from plants with recent certifications, where the work of building or upgrading a system is fresh. We also approach quality systems engineers in larger multi-site companies, internal lead auditors, document control leaders and former registrar auditors who now want to work inside a plant.
We match the standard your plant holds, whether ISO 9001, IATF 16949, AS9100, ISO 13485 or another, along with the eQMS platform and the size of your site. We consider whether you need someone to build a system from little or refine a mature one. Registrar auditors who have grown tired of travel can be a surprisingly strong source, because they have seen what many plants do wrong and can describe it candidly, though we confirm they have also run a system from the inside.
Which hiring mistakes should you avoid?
Red flags we screen out early. We watch for managers who treat audits as paperwork drills, who cannot describe a nonconformance they closed in detail, who rely on consultants for every certification, or who have never run an audit program independently.

- Red flags we screen out early. We also ask how they handled a supplier or customer audit that arrived on short notice, because a manager who needs weeks to find records has a system that lives in a binder, not on the floor.
- Document control that people use. Document control often fails quietly.
The search
How the search runs?
We start with your current system: certifications held, upcoming audit dates, eQMS platform, recent findings and how document control and CAPA are handled today. We ask whether the manager will own the whole system or share it with a quality director.

Approach relevant people
We then build a candidate list from the pools above and approach people directly, including those between audit cycles. Each candidate is screened on certification experience, audit program design and eQMS depth, and you see our notes before meeting them.
Qualify the work and support the hire
We confirm compensation, relocation and restrictions early. Our fee is a percentage of first-year base salary, agreed in writing before the search starts, and you pay no fee unless you hire.

The Six-Step Search
What do you get before interviewing?

1. Search Calibration
You get a hiring brief that separates the work, reporting authority and non-negotiable requirements. We agree what would make a candidate worth an interview before contacting anyone.
2. Market Mapping
You get a defined search pool, not a reposted vacancy. We identify the kinds of plants and teams where people already handle comparable equipment, processes and operating demands.
3. Professional Contact Intelligence
You get a way to reach working people directly. We check professional contact routes and approach candidates discreetly, without making your plant or vacancy public unless you approve.
4. Persistent Personalized Outreach
You get individual conversations about the actual opening. We explain the work, shift and location, ask whether a move makes sense, and follow up without pretending every person is interested.
5. Live Candidate Qualification
You get evidence of fit before spending interview time. We talk through decisions, equipment, results and reasons for moving, then distinguish direct experience from skills that would need support.
6. Candidate Intelligence and Process Support
You get a focused short list with the information behind it. We explain motivation, practical constraints and concerns, support interviews, and keep offer decisions with your hiring team.
What should we discuss first?
When do we pay?
Only when a Quality Systems Manager we introduced accepts your offer and starts. If no hire is made, you owe nothing.
What should you know before sending quality systems manager?
When do you pay a recruiting fee?
No upfront fee. You pay only if you hire. The signed recruiting agreement sets the fee basis and payment terms. Sending an opening does not itself commit you to a fee or an exclusive arrangement.
How long does it take to see a short list?
We discuss the search conditions before describing a realistic next step. Shift, location, equipment match and the candidate's reasons for moving all matter. We do not promise a shortlist date before understanding the opening.
How do you handle counteroffers?
We ask what is driving the move before introducing a candidate. We discuss what might change if the current employer offers more money or a different job. Your team still decides whether that person's motivation fits the opening.
What replacement terms apply?
We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.
What do you not do?
We do not bill hourly for a standard permanent search, repost a job-board ad as a search, or supply high-volume general labor. Retainers are not the default. Any different arrangement must be agreed in writing.
